The 5-Tool Coaching Business: The Exact Stack I Use to Run a Multi-Six-Figure Practice

Without paid ads or employees. A normal work week, five tools that handle the rest, and no nights or weekends lost to admin.

You are good at the actual coaching. The programming, the client calls, the results. That part was never the problem.

The problem is everything around it. The content that has to go out. The leads that fall through the cracks in your DMs. The session notes you write at 9pm. The five tools you pay for and use two of.

I ran my practice that way for a long time. Then I rebuilt the whole back end on five tools that talk to each other, and the business stopped running me.

Here is the entire stack, what each tool does, and why it earns its place. You can copy it exactly.

The five tools, and the job each one does

1. Claude, the thinking and the writing

This is the engine. Claude drafts the newsletter, the posts, the client follow-ups, and the program outlines. Not generic filler, your actual voice, because you teach it once and it remembers.

I treat Claude like an employee, not a magic button. It drafts, I review and approve. The hours I used to spend typing first drafts are the hours I got back.

The reason it works is the part most people skip. You build a skill, a saved set of instructions that holds your voice and your rules, so the output sounds like you and not like a robot. More on that in a later guide.

2. Kajabi, your home base

Everything you own lives here. Your site, your guides, your email list, your courses, your checkout. One platform instead of six subscriptions stitched together.

When someone joins your list, Kajabi holds them, tags them, and sends the right email without you touching it. It also runs your intake. Kajabi's built-in assessments collect your new-client questionnaires, so you do not need a separate form tool. The guide you are reading right now is delivered through it.

The reason this matters: you stop renting your audience from other platforms. The list is yours.

3. ManyChat, the front door

This is how a comment on Instagram turns into an email subscriber while you sleep. Someone comments a keyword, ManyChat sends them the guide, collects their email, and hands it to Kajabi.

No manual DMs. No copying addresses into a spreadsheet. It runs 24 hours a day.

The reason it works now: Instagram rewards DM sends more than almost any other signal, so this funnel grows the account and your list at the same time.

4. Zoom, your client calls and your memory

Zoom runs every virtual appointment, and it records and transcribes the call for you. I run that transcript through Claude and out comes the follow-up note, the next-session plan, and the recheck reminders.

I have not typed a session note in months. The follow-up is often written before I leave the call.

The reason this is the quiet win: notes and follow-ups are the task that eats your evenings. Hand it off and you get the hours back.

5. Instagram, the storefront

This one is listed last, but it is where the whole loop starts. Instagram is where coaches, trainers, and practitioners find you, and where a single reel can reach people you would never meet otherwise.

It is not a back-office tool. It is the front of the business, and it feeds everything else on this list.
